Who this is for
Office managers and practice administrators at physician offices and specialty practices around DFW. Usually a few exam rooms, a lab corner or procedure room, a front desk, a waiting room, and staff who are too busy seeing patients to wipe down the break room.
If you run a dental office, chiropractic office, therapy clinic or another type of practice, see our healthcare spaces page too.
Our part and your part
A medical office has two kinds of cleaning. Your clinical staff cleans between patients during the day: exam tables, instruments, devices and anything that touches a patient's body. We handle the building cleaning at night.
| Our part (building cleaning) | Your staff's part (clinical) |
|---|---|
| Floors in every room | Exam tables and instruments between patients |
| Restrooms, sinks and counters you've cleared | Medical devices and equipment |
| Door handles, light switches, chair arms, check-in counter | Sharps containers |
| Regular trash and recycling | Red-bag and regulated medical waste |
| Waiting room, hallways, offices, break room | Blood or body fluid spills, under your exposure control plan |
OSHA's bloodborne pathogens standard puts the cleaning plan on the employer. It calls for a written schedule for cleaning and decontamination based on the room, the surface, the kind of soil and the procedures done there. Your plan decides who does what, and our written scope follows it.
What we clean in a medical office
Starting list. Your walkthrough and your infection control plan set the real one.
| Area | Every visit | Weekly | Monthly |
|---|---|---|---|
| Waiting room and check-in | Chairs and arms wiped, counters and pens tray wiped, door handles, entry glass, floors vacuumed or mopped, trash out | Chairs and tables detailed, magazine racks dusted | Baseboards, vents, upholstery spot cleaned |
| Exam rooms | Floors mopped, sink and cleared counters, door handles, light switches, guest chairs, trash out | Cabinet fronts, wall spots | High dusting, vents |
| Restrooms | Fixtures cleaned and disinfected, grab bars, mirrors, dispensers refilled, floors mopped | Partitions and walls around fixtures | Grout and drains scrubbed |
| Hallways and offices | Floors, trash, touch points, clear desk surfaces | Ledges and sills dusted | High dusting |
| Staff break room | Counters, sink, tables, appliance fronts, trash, floor | Microwave inside, cabinet fronts | Fridge wiped out after staff clears it |
CDC's healthcare guidance says to clean or disinfect environmental surfaces on a regular basis, such as daily or three times a week, and whenever they're visibly soiled. It also says to change mopping solution often and launder mop heads and cleaning cloths at least daily.
Products and contact time
A disinfectant works only if it stays wet on the surface for the contact time on its label. EPA's own steps say to pre-clean dirty surfaces, follow the directions and keep the surface wet for the full contact time. Wiping it dry after a few seconds wastes the product.
EPA keeps lists of registered products tested against specific germs, including List S for bloodborne pathogens and List K for C. diff spores. If your practice cares about a specific germ, your product's label needs to claim it. Tell us at the walkthrough and we'll use your chosen product or one that matches.
How we start
- Walkthrough after hours. We meet the office manager, see every room and note which ones are off-limits, such as a lab, a drug cabinet or an imaging room.
- Written scope. Our part, your staff's part, products, frequency, and who stocks paper goods and soap.
- Schedule and access. Usually every weekday you see patients, in the evening. Keys, alarm codes and lockup steps go in writing.
- Start, with one number to call. We start on the agreed day. After that, our managers do site checks, and you have one number to call or text when something needs fixing.
Privacy in a medical office
Charts, papers and screens stay as they are. We don't move or read anything on a desk. If your practice has a confidentiality form for vendors, send it before we start.
What changes the cost
- Number of exam rooms and restrooms.
- Total square footage.
- Nights per week.
- Floor types.
- Patient volume.
- Whose products and consumables we use.
We don't post prices. You get a written quote after the walkthrough.
Why practices call V&V
We've cleaned in Dallas-Fort Worth since 2009 and we're family-run. We carry general liability and workers' comp, and we send a certificate of insurance by the next business day. We speak English and Spanish, which helps when your staff or patients do too.
We work in Fort Worth, Dallas, Arlington, Plano, Frisco, Mansfield, North Richland Hills and the rest of our service area.
How we keep your building consistent
Cleaning usually goes wrong when the work slips after the first month. This is how we keep it from slipping.
- A written scope
Before the first night we write down every area, every task and how often. The crew works from that list, and so do you when you check the work.
- One person to call
You get one contact at V&V for scheduling, changes and problems. In English or Spanish.
- A set schedule
Same days, same time window. If a holiday or a building event moves things, we work it out with you ahead of time.
- Problems get handled
Tell your contact what was missed. We go over it with the crew, update the checklist and look at that spot on the next visit.
- Manager site checks
Our managers do site checks and look at the work in person.
How it works
- 01Tell us about the building
Call, text or send the form. We set up a free walkthrough and look at every room, floor and restroom.
- 02Get a written scope
Every area, every task, how often and the price, in writing before anyone starts.
- 03We clean
Our crew brings its own supplies and equipment and works through your checklist. You supply the paper goods and trash liners, and we refill them.
- 04You tell us what to change
Call or text your contact at V&V and we update the checklist for the next visit.
If something on the agreed scope gets missed, tell us within 24 hours and we'll fix it.

Medical Office Cleaning questions
Do you clean exam rooms?
Yes, at night after patients are gone. We clean floors, sinks, counters your staff has cleared, chairs, door handles and regular trash. Cleaning the exam table and equipment between patients stays with your staff during the day.
Will your crew see patient records?
Our crew doesn't read, move or open patient records or charts, and we'll sign your confidentiality agreement. Federal HIPAA guidance says a cleaning service whose contact with patient information is only incidental generally doesn't need a business associate agreement, but we're glad to follow whatever your practice requires.
Do you handle sharps containers or red-bag waste?
No. Sharps containers and regulated medical waste stay with your staff and your medical waste company. We'll write that into the scope so it's clear.
What disinfectant do you use?
We use EPA-registered products and follow the label, including the contact time. If your practice has picked a specific product for its infection control plan, we can use yours so everything in the building matches.
Can you promise our office meets health regulations?
No cleaning company should promise that. Your practice owns its infection control plan and its OSHA duties. We clean to the written scope you approve, and we'll follow the products and steps your plan calls for.
Can you clean every weeknight?
Yes. Most medical offices need service every weekday they see patients. We clean in the evening after you close, Monday through Saturday.
